Useful Features Within the PeopleSoft Onboarding Application

PeopleSoft recently released the long-awaited Onboarding Application, which was initially released in PUM 23. Since then, updates have been released in PUM 24 and PUM 26. Check out this list of new functionality within the Onboarding Application that you can utilize within your organization to help onboarding go smoothly.

Configuration and Flexibility

This application is easily configurable. It is broken into three sections—Category, Paths and Steps—that can be configured based on the type of employee you are onboarding. You can also configure what steps are required, when the due dates are for steps and the managing onboard tools like status, document review, etc.

Simple and Mobile

The Fluid UI of this Onboarding application makes it simple to use and is excellent for mobile devices. The minimalist view of the tiles makes navigation easy and shows essential information right on the homepage. The application is also easy to use on mobile devices, so employees can complete their onboarding on the move while maintaining the simple UI and easy-to-use navigation.

Delivered Manager View

With this new Manager View, managers can check on the status of their employee’s onboarding and know if they need to follow up with them about their progress. Managers can drill down and check the status of each step of the process. They can also send a reminder to the employee through the application to finish their steps.

Videos

Videos can be embedded straight into the application. This can be helpful for steps like including a welcome video at the beginning of the onboarding process. You can point to any URL from either the Internet or an intranet.

Documents

This feature can be helpful for Acknowledgement documents that companies have for their employees to read, sign and submit. All of that functionality is built in. Employees can now select an Acknowledge button as an electronic signature instead of having to download, sign and re-upload documents.

Acknowledgment Pages

Instead of employees having to download PDFs to sign and return, you can now have text in an HTML box and have it directly on the screen. You can have a link to the full Terms and Conditions and have a checkbox that allows them to agree to the Terms and Conditions. Checking this box will serve as their electronic signature.

Attachments

Employees can also easily upload documents like marriage or birth certificates as attachments instead of submitting a paper copy to a manager. This helps companies move more into the digital age and away from paper-based systems.

Summary and Status Page

At the end of the steps, a summary page will show the status of each step, whether it’s required and the due date. It will help employees keep track of what still needs to be completed within their onboarding.
