Oracle HCM Cloud Manager Experience Demonstration

Heather Pacheco, HCM Cloud Solution Consultant at Oracle, gave a demonstration of the manager experience in Oracle HCM Cloud. This HCM Cloud manager experience demonstration shows the capabilities that are provided to managers and how they can leverage HCM Cloud to efficiently complete their tasks.
Empowering Managers with HCM Cloud
It is well known that the No. 1 reason employees choose to leave their organization is because of their manager. Managers play a very important role in your organization. They are responsible for driving employees’ engagement and developing and retaining top talent across their team in order to further drive the success of the organization. Therefore, managers need to have the right tools in order to be successful. This includes providing them with the ability to work when, where, and how they need to so that they are not forced to jump through hoops to complete basic tasks.
Managers, like your employees, want to work the way they live, and that starts with providing them with superior tools – like those in HCM Cloud. Having a solution in place that will allow your managers to have continuous, real-time insight into their team, stay better connected with their employees, have access to real-time analytics, and leverage technology like AI and machine learning will ultimately help your managers succeed.
HCM Cloud Manager Experience Demonstration
Pacheco walked through an example showing the experience that Robert, a manager, has in HCM Cloud. Like most managers, Robert spends the first bit of his morning checking emails and checking for any pending approvals that he might have. What he loves is that he can do that from his mobile device with the power of HCM Cloud.
In this example, when Robert goes into the system to check for pending approvals, a personalized notification pops up through a digital assistant to let him know that his attrition rate for the last month has been above the average rate of 10 percent. It advises him to review his attrition report.
He can drill down into manager actions directly within the digital assistant window and access quick action links that will take him to the report.
The digital assistant will provide a direct link that takes him to the report. When Robert clicks that link, he will be given a simple and clean visual of the report that provides him with the exact data that he needs.
Since Robert opened the attrition report, the digital assistant will then make a recommendation and ask him if he wants to open his requisition report. This is due to AI and machine learning that are embedded into the HCM Cloud solution.
Another great feature that Robert can access is the Approvals quick action link that will show him what pending approvals he has. It will tell him the number of pending approvals and what the request is for. The digital assistant will also recommend actions to take based on the request.
As a manager, Robert is able to access all of the information about himself as an employee as well as all of the information about him as a manager. This is part of the security role-based design within HCM Cloud.
In the HCM Cloud manager experience, there are a lot of different areas that the manager can access. The system will show a “Quick Actions” section filled with areas of the solution that the manager frequently visits. The system learns the transactions that the manager completes over time and adapts in order to serve them up to the manager upfront. This helps managers more quickly and easily navigate the HCM Cloud solution.
There are also notifications that can be set up as part of the HCM Cloud manager experience. These notifications will appear in a bell icon at the top right corner of the screen. From here, Robert can take action on items that are being pushed out to him through notifications.
As a manager, Robert knows that performance is one of the most important things that he needs to focus on to keep his top talent at the organization. In this example, Robert sees that he currently has an outstanding performer, Jacob, and he just left a check-in meeting with him. From one point in the solution, he can see Jacob’s performance details because the solution is all mobile-responsive. Employees and managers can initiate and complete check-in discussions from anywhere at any time from any device.
Check-ins are lightweight, configurable records that are designed to facilitate ongoing 1-on-1 discussions. Having these capabilities truly allows managers and their employees to be better connected throughout the year. Managers and employees can complete check-in questionnaires by using conversational technology. Instead of typing out all of their notes, they can simply document them by talking to the system. Robert is able to make note of the fact that Jacob exceeded his KPIs this past month, that he is on track to do the same next month, and that Jacob has initiated a mentorship to improve on his leadership skills and effective communication.
After taking the note about Jacob’s new mentorship, Robert remembers to look and see if he has any pending mentee requests. He goes to his Personal Brand tile, where he can see things like his skills, mentorships, endorsements, etc. In the mentorships section, Robert can see if any mentees have requested him as a mentor and any mentors that he is currently mentoring. If the manager has any requests, he can go ahead and approve or decline it when he clicks on the request.
Robert can also take care of tasks like promotions within his HCM Cloud solution. He has an employee that has been an outstanding performer, he can head into his Promote quick action and manage that employee’s information. The manager can select if he wants to manage the employee’s managers, salary, compensation, or direct reports.
Robert loves the conversational user experience that HCM Cloud offers him. It makes the solution more human-like – as if he was simply talking to one of his HR business partners while completing the process. Robert can enter the effective date for when his employee’s promotion starts, the reason he is promoting the employee, what the employee’s new job and job title are, the new pay grade, salary adjustments (either by a dollar amount or a percentage), and any comments or attachments.
The system suggests recommended roles based on the employee’s current position and automatically matches job title information with job family name and job code/pay grade. You can also set up soft and hard stops within the system to help guide managers through the process and ensure that they are not entering incorrect information or typos. Once all of the appropriate information is entered, the manager will receive a confirmation message.
The system will also recommend opening a requisition now that there is a vacancy in the employee’s old position that will need filling. These proactive prompts help make managers more productive.
However, before Robert goes in and opens the requisition, he wants to head over into his Learning work area. He can see current learning, requested learning, any transcripts for completed learning, and any learning communities he is a part of. Robert is going to take care of pending memberships while he is in the Learning work area. In his Learning Communities area, he can see any pending membership approvals that he has.
If Robert has employees that are struggling with performance, he can push learning opportunities out to them. The system can also automatically assign learning opportunities to employees. Trainings can also be automatically sent to new hires. Managers and employees can share the learning that they complete through social channels that are linked to HCM Cloud.
Next, Robert needs to take care of opening the requisition for his employee’s previous position after he promoted her. If he goes into his Hiring work area, he can easily open a new requisition and see all other open or drafted requisitions. When creating a new requisition, Robert is offered existing templates and everything else will populate from the template that he selected. He simply needs to fill in the information that the template prompts him to.
Once he has submitted the requisition, the solution will automatically show any recommended candidates for open positions. Adaptive intelligence matches the best fit prospects with open requisitions. This is a big benefit for your recruiters and managers because they will no longer have to spend time scouring resumes. The solution does it for them and serves up the best candidates for the job.
Let’s say that Robert has extended an offer letter to one of his candidates. Within the Hiring area, he can go in and quickly view the details of that offer letter. He can easily preview a copy of the entire letter to ensure that all of the details that should have been included made it into the letter.
Robert can also go into his Onboarding work area to ensure that onboarding tasks are up to date and that new hires coming onboard have completed everything they need to. He can see all tasks (both for himself or for his employees), who the task is assigned to, and when the due date is. He can also make changes like reassigning tasks or marking them as complete for an employee. He will be alerted if anything is overdue, and he can send reminders to employees about their tasks to try to ensure that they are getting completed.
The last thing that Robert wants to do before he heads out for the day is to take a look at his Analytics dashboard. From here, he can get real-time statistics about things that are important to him – the number of employees at risk, a headcount trend, active offers, etc. He can also drill into these reports and take action if necessary.
