The Payment Request feature was first introduced with PeopleSoft 9.2 on Image 6 and has been improving ever since. This feature puts the responsibility of low-value, high-volume invoices in the hands of end users by providing them with the self-service ability to request payment for non-Purchase Order invoices.
Creating PeopleSoft Payment Requests
To create a PeopleSoft Payment Request, end users must complete the following four steps:
- Summary Page
- Supplier Information
- Invoice Detail
- Review and Submit
Payment Request utilizes the PeopleSoft “Train Stop” feature, so end users can see exactly where they are within the four-step process. They are also able to move back and forth between the steps.
It only takes a small amount of information to create the request and it is fairly easy to complete. If a user does not have a certain piece of information and needs to come back to a request after they look up that information, they can save the request, generate an ID number and then revisit it at a later time.
Leveraging PeopleSoft Payment Requests
To leverage the Payment Request feature in your company, you will need to configure the Payment Request template. Configuring the template allows you to define rules and each business unit can have its own template. You also need to configure the Approval Workflow Engine if you choose to use an approval process for Payment Request. This simply lets you choose how many people you want to approve requests and who those people are that can approve the requests.
